For a solo injector or single-location med spa that wants real software without a four-figure monthly bill, Vagaro is one of the few credible options that starts around $24-$30 per bookable calendar. It has since added a HIPAA-compliant charting module, so a clinic can run scheduling, payments, and basic clinical documentation in one place.
The headline is price relative to breadth. Few competitors give you booking, POS, memberships, email and text marketing, and reporting at this entry point. Vagaro's review volume is enormous, carrying a 4.7 rating across more than 3,600 Capterra reviews, which is a meaningful signal of day-to-day reliability and a large support community.
On the aesthetics side, Vagaro has genuinely invested in med spa capability: HIPAA-compliant charting, customizable SOAP notes and treatment-protocol templates, digital intake and consent forms tied to client profiles, and secure before-and-after photo storage. The consumer marketplace is a real differentiator, since listed businesses can pick up new-client bookings that a standalone scheduler never would. The biggest caveat is that Vagaro is a generalist first. Its clinical depth does not match purpose-built aesthetic EMRs, and independent comparisons note gaps such as a missing annotation pad and limited injectable tracking, which matters for injectable-heavy practices documenting units and lot numbers. Med spas with complex device protocols or multi-step treatment plans will feel the ceiling.
The second caveat is true cost. The advertised entry price is real but incomplete. Once you add payment processing (around 2.2% and up), text marketing, a branded app (about $100/mo), and payroll, the monthly total commonly lands in the $100-$200+ range. The modular, add-on-heavy structure makes it hard to predict spend, so pricing transparency is weaker than the low headline suggests. Verify current pricing directly with Vagaro before committing.
Choose Vagaro if you are a solo or single-location med spa that values a low entry price, broad functionality, and marketplace exposure over deep clinical tooling. It is a strong fit for blended beauty-and-aesthetics businesses where charting needs are moderate. Look elsewhere if you run an injectable- or device-heavy clinic that needs robust EMR depth, granular treatment tracking, and tighter compliance documentation, where a dedicated aesthetics platform will serve you better.
